Description
We are looking for a detail-oriented and organized Administrative Assistant to join our team in Roslyn, New York. This is a Contract to permanent position, offering an excellent opportunity to grow within a well-established commercial property management company. The ideal candidate will possess strong communication skills, a proactive attitude, and the ability to handle multiple tasks efficiently while maintaining a high level of competence.
Responsibilities:
Serve as the primary point of contact for tenants and vendors, ensuring all inquiries are handled promptly and with care.
Manage inbound and outbound calls, providing exceptional customer service and resolving issues effectively.
Coordinate and schedule appointments, meetings, and other events as needed.
Perform data entry tasks with accuracy, maintaining up-to-date records and documentation.
Handle email correspondence, ensuring timely and clear communication with internal and external stakeholders.
Collaborate with team members to support daily office operations and maintain a positive work environment.
Utilize Microsoft Office Suite (Excel, Word, Outlook, PowerPoint) to create and manage documents, spreadsheets, and presentations.
Liaise with tenants and vendors to address concerns, ensuring a calm and thoughtful approach in all interactions.
Assist in maintaining a high standard of service aligned with the company's established reputation.
Support the property management team with administrative tasks and additional responsibilities as assigned.
Requirements - Proven experience in an administrative or customer service role, preferably in property management.
Proficiency in Microsoft Office Suite, including Excel, Word, Outlook, and PowerPoint.
Strong written and verbal communication skills with the ability to interact effectively with diverse groups of people.
Exceptional organizational skills and attention to detail to manage multiple tasks simultaneously.
Ability to remain composed and focused under pressure, displaying patience and firmness when needed.
Self-motivated and proactive, with a demonstrated ability to work independently and collaboratively.
Familiarity with scheduling appointments and managing correspondence efficiently.
