Job Title: Administrative Assistant
Job Description
We are seeking a dedicated and experienced Administrative Assistant to provide comprehensive support to various departments. This role involves a wide range of administrative duties to ensure smooth operations and effective communication within the team.
Responsibilities
Perform timekeeping and attendance reports.
Process employee expense reports for covered and non-covered personnel using PaySource and Oracle Expenses.
File documents and order office supplies.
Coordinate travel arrangements.
Schedule and coordinate logistics for meetings.
Gather data, compile information, and prepare reports.
Maintain departmental record retention.
Support all plant and department Safety initiatives.
Act as a contact for vendor regarding copier/printer repairs.
Prepare expense statements for reimbursements for covered employees and boot allowance for all employees.
Update databases to reflect vacation and time off, update call-out lists weekly, and prepare and distribute quarterly and yearly reports.
Order flowers for sickness or bereavement for departmental time groups.
Act as FMLA contact for departmental time groups.
Verify contractor timesheets using Tableau and verify backup documentation.
Backup Admin Assistants in other departments as needed.
Provide superior customer service to all internal and external customers.
Essential Skills
High school diploma or equivalent.
Three to five years of administrative experience.
Extensive experience in administrative support including conference, travel, and meeting arrangements, report preparation, and calendar management.
Proficiency in Microsoft Office applications.
Positive attitude and ethical behavior.
Capacity to manage sensitive information and maintain confidentiality.
Ability to make administrative and procedural decisions and judgments.
Detail-oriented with the ability to multitask.
Skilled in organizing resources and establishing priorities.
Ability to create, compose, and edit written materials.
Effective written and verbal communication skills.
Additional Skills & Qualifications
Two-year degree or vocational school certification preferred.
Accounts Payable experience preferred.
Experience with timekeeping systems preferred.
Experience working with union employees in a plant environment preferred.
Pay and Benefits
The pay range for this position is $20.00 - $25.00/hr.
