Job Summary
The Administrative Assistant for the Asset Management team is responsible for supporting the daily operations of the Asset Management and Operations Department by handling a wide range of administrative tasks, including organization and maintenance of mail and corporate documents, responding to property owner and wireless/billboard tenant inquiries, assisting with the administration of leases and other real estate agreements, and other property management tasks as needed. This position reports to the Sr. Real Estate Specialist - Asset Management and works three days per week from our corporate headquarters in El Segundo, CA.
Duties/Responsibilities
Assist with managing department emails and phone calls. Create cases in our Servicing platform for asset managers to review. Update case notes as needed.
Scan, sort and distribute department mail. Upload notices, real estate agreements and other documents into our database.
Prepare and distribute documentation (welcome letters, easements, assignment documents, W9's, etc.) to the tenants for payment redirection.
Correspond with tenants and property owners via email and phone. Help facilitate site access requests by connecting tenants with landlord contacts.
Facilitate execution and notarization of documents requiring wet signatures. Track and upload completed items into our database.
Help research property owner and tenant inquiries, including Title searches and documentation requests.
Assist with updating internal database and various other short-term projects.
Provide support with the review of site-specific documentation to ensure quality and completeness.
General coverage of front desk during Office Coordinator's lunch break and as needed.
Provide professional customer service to all internal and external customers.
Perform other related duties as assigned.
Requirements
Required Skills/Abilities
Familiarity with Microsoft Office Suite.
Ability to handle multiple tasks and deadlines in a fast-paced environment.
High level of organization and attention to detail.
Excellent time management skills.
Strong communication and interpersonal skills.
Education and Experience
Associate's degree or equivalent work-related experience.
Ability to read and comprehend real estate agreements.
Knowledge of real estate property management and telecommunications/wireless leases is a plus.
Licensed CA notary is preferred but not required.
