Overview
The Global Government Affairs group within the General Counsel's Organization seeks an Executive Assistant who will provide administrative support to four Vice Presidents within the US Regulatory Relations (USRR) team and assist with meeting scheduling for regulatory interactions. This role requires attention to detail, problem-solving and collaboration skills, strong communication, and mastery of workplace technology. The ideal candidate must be motivated to help the team be successful, be experienced in handling a wide range of administrative tasks and be able to work independently and confidently under pressure. Being flexible, resourceful, and knowing how to navigate large organizations fluidly will also be critical to success in this position.
Key Expectations and Responsibilities:
Coordinate with offices across the Company to facilitate meetings
Manage complex calendars with discretion and care
Regularly interface with business executives, associates and other contacts at all levels of the organization
Support the USRR Project coordinator with scheduling regulatory meetings.
Create and update matters via the GCO Billing/Matter Tracking System
Reserve meeting rooms and coordinate and handle catering and audio-visual needs for team meetings and other larger GCO meetings
Manage end-to-end expense reporting and invoicing processes including submissions, review and monthly processing
Coordinate travel arrangements and logistics
Support the onboarding of new hires
Order office supplies and equipment
Support various ad-hoc projects as needed, including through substantive participation in meetings and use of MS Word, Excel and PowerPoint.
Minimum Qualifications
2 years of previous experience as an Executive or Administrative Assistant and familiarity with office management and technologies
Proven experience providing support to executives with exceptional organizational, administrative, and interpersonal skills
Proficient in MS Word, PowerPoint, Excel and Outlook and comfortable adapting to new technology
Self-motivated, proactive team player with strong initiative
Strong attention to detail with emphasis on accuracy, quality, timeliness and follow through
Enthusiasm to work collaboratively and proactively with the broader GCO team and build relationships across American Express
Ability to work well in a dynamic and fast-paced organization and manage multiple tasks and conflicting and changing priorities with little direction.
Excellent verbal and written communication skills (via phone, email, Webex and in-person)
Preferred Skills and Experience
Experience with American Express systems and processes such as Concur, Reserve, TechCare, Ariba, etc., or similar.
Bachelor's degree is a plus

Salary Range: $24.05 to $48.10 hourly bonus benefits
