Description We are in search of an Executive Assistant to join our team in NEW YORK, New York. In this role, you will manage a variety of tasks such as scheduling, meeting preparation, and email organization. You will also assist the team with project management, report generation, and event coordination.
Responsibilities:
Coordinate intricate calendar schedules, ensuring smooth flow of meetings and events
Handle high-volume emails, calls, and requests, providing timely responses to facilitate efficient operations
Prepare for meetings including securing space, arranging catering, and taking detailed notes
Provide strong administrative support including travel arrangements and expense report management
Assist the team in managing workflow, tracking project deadlines, and ensuring all tasks are completed
Draft presentations, compile reports, and organize itineraries as required
Work closely with various committees and groups, handling scheduling and meeting logistics
Manage CRM data entry, update contact and account details, and generate reports as necessary
Assist with event coordination including outreach, registration, menu selection, and name badge preparation
Attend company events outside of regular business hours as required Requirements

Excellent written and verbal communication skills.
Candidate must be highly organized, take initiative and be flexible.
Solutions-orientated with the ability to handle last-minute changes and/or shifting priorities.
High level of discretion, possessing trustworthiness and confidentiality.
Proficient in Microsoft Office including Power Point and Excel.
Strong attention to detail and organization with a high level of reliability and execution.
A minimum of 3-5 years of related administrative assistant experience in a fast-paced business environment.
