Description Whitmore based company is seeking an experienced Administrative / Project Assistant. This is an excellent long-term opportunity to join a dynamic growing team. This role requires a high level of organization and detail-orientation, with responsibilities encompassing the processing of customer applications, maintaining accurate records, and addressing customer inquiries. This role requires engagement with various systems and teams to ensure smooth job progression. Role is fully onsite and pays up to $24/hr. Only those who meet the criteria will be considered.
Responsibilities:
Facilitate the flow of work from the initial quoting stage to final completion, ensuring smooth progression.
Prepare and dispatch quotes for jobs, facilitating the provision of necessary information and documentation to clients.
Monitor and track quotes, aiding in the establishment of paper folders for billing and field staff with a focus on customer service.
Handle the dispatch of invoices for completed work using specific software and follow up on overdue invoices.
Perform a variety of administrative duties as assigned.
Engage with various systems and teams to ensure smooth job progression.
Maintain a high level of proficiency with Microsoft Office.
Manage multiple tasks with critical deadlines, maintaining a sense of urgency to meet frequent short timelines, goals, and deadlines.
Maintain high attention to detail and consistent follow-through.
Utilize skills in Customer Service, Data Entry, Manage Timelines, Microsoft Excel, Microsoft Outlook, Microsoft PowerPoint, Microsoft Word, Organizing Files, Scanning, and Shipping Functions.
The ideal Project Assistant will meet the following criteria:
Experience with or understanding of construction billing practices.
Customer service experience.
High level of proficiency with Microsoft Office.
Minimum of 2 years of experience working with a project management team.
Must be comfortable juggling multiple tasks with critical deadlines.
Excellent analytical, organizational and communication skills; high attention to detail; consistent follow through.
Must be able to manage competing interests while maintaining a sense of urgency and meet frequent short timelines, goals, and deadlines.
