The Assistant Account Manager provides administrative and operational support to the Account Manager in coordinating day-to-day maintenance and facility operations across the campus. This role ensures smooth workflow, communication, and execution of maintenance tasks, preventative programs, and compliance with facility standards.

Core Responsibilities:
Assist in scheduling and tracking preventive maintenance activities and service requests using CMMS (Asset Essentials).
Prepare and update reports, work orders, and documentation to support site inspections, repairs, and project timelines.
Support budget tracking, invoice processing, and vendor communication for supplies, services, and construction projects.
Coordinate internal team schedules, meetings, and communications; relay site updates to ABM leadership and client contacts.
Maintain updated logs of safety inspections, facility conditions, and work order resolutions.
Assist with bid preparation, cost estimate support, and review of vendor or contractor proposals.
Help manage inventory of tools, supplies, and facility equipment.
Provide administrative assistance with performance reviews, training coordination, and team communications.
Help ensure compliance with safety procedures and quality standards across all facility-related work.
Qualifications:
Associate's degree preferred or equivalent experience in facility management, construction, or administrative support.
Valid Driver's License
Experience: Minimum 2-3 years supporting facility operations, maintenance services, or administrative project coordination.
Skills:
Proficient in Microsoft Office Suite (especially Excel, Outlook, PowerPoint)
Experience with CMMS software (Asset Essentials preferred)
Strong organizational, communication, and multitasking skills
Basic understanding of facility systems (plumbing, HVAC, electrical) is a plus
Preferred Qualifications:
Bilingual Korean/Spanish a plus
Basic understanding of facility safety protocols
