We are seeking a motivated and customer service-oriented individual to maintain our welcoming and professional front desk for the CWC building and to perform electronic scanning, filing and other general administrative tasks. As an Administrative Assistant, you will be essential in supporting CWC's daily operations. Reporting to the Finance Director, you will utilize your core skills in admin tasks, customer service, and attention to detail to manage communications and files. Among other general admin duties, our front desk Administrative Assistant will:
Provide excellent customer service to the public and government officials over the phone and in person
Manage all incoming and outgoing physical mail and deliveries
Create and maintain mailing databases, distribution lists, filing and inventory systems and manage workrooms and inventory of supplies.
Calendar management, meeting prep and training class registration.
Electronically compile, physically file and provide critical data and reports to internal and external stakeholders. Be able to troubleshoot when data is ambiguous researching online or reaching out to staff to clarify information.
Ideally, our new Administrative Assistant will be open to being trained to be CWCs IT liaison, providing basic IT support to the office (e.g., meeting technology, media/audio equipment, printers etc) and liaising with our remote IT service provider via phone and/or email to implement their complex IT actions.
Required Skills/Abilities:
Ability to greet visitors, clients, and colleagues in a friendly and courteous manner.
Proficient in Microsoft Office Suite or related software.
Excellent verbal and written communication skills.
Excellent attention to detail.
Ability to organize and prioritize work.
Basic understanding of office equipment.
Basic understanding of clerical procedures and systems such as recordkeeping and filing.
Ability to work independently and identify and solve problems.
Education and Experience:
High school graduate. Associates degree preferred.
At least 1 year of clerical or office work experience.
Physical Requirements:
Prolonged periods sitting at a desk and working on a computer.
Must be able to lift up to 15 pounds at times.
Administrative skills
