The Idaho Department of Parks and Recreation is seeking a dedicated and
detail-oriented Administrative Assistant 1 to join our
team at the East Region Office in Idaho Falls.
In this role, you will provide essential administrative support to
regional operations while delivering exceptional customer service to
both staff and
the public. Your contributions will help maintain efficient office
functions and create a welcoming environment for visitors. You will
report directly to
the Administrative Assistant 2 and collaborate closely with regional and
park staff.
Located in Idaho Falls, our East Region Office serves as a hub for the
regions parks and recreational activities. Nestled near the Snake River
and
surrounded by outdoor adventures, Idaho Falls offers a vibrant community
and stunning natural scenery. Whether you enjoy hiking, fishing, or
simply exploring the great outdoors, our location provides the perfect
backdrop for work and play.
This is a part-time position with 20 to 25 hours per week and is limited
to 1,040 hours per fiscal year (July 1 - June 30).

EXAMPLE OF DUTIES
Answer phones and greet the public with professionalism and courtesy.
Provide telephone and message services for office staff and field calls
appropriately.
Maintain an organized and presentable office environment, ensuring the
general appearance is welcoming to visitors.
Support the office with supply management by monitoring stock levels,
ordering necessary items, and maintaining organized inventory records.
Assist customers with registrations, permits, and retail purchases.
Manage the foyer display with current brochures and in-season materials,
ensuring accuracy and relevance.
Deliver outstanding customer service by responding to inquiries promptly
and courteously.
Utilize Microsoft applications to create professional documents,
letters, and labels.
Assist with monthly reports such as vehicle maintenance logs, park
reports, and retail inventory and sales.
Proofread and edit office documents including letters, memos, contracts,
and advertisements to ensure accuracy and professionalism.

Distribute incoming mail and process outgoing mail efficiently,
including express mail arrangements.
Complete inventory requests accurately and maintain inventory records.
Perform monthly resale item inventory and report discrepancies to the
supervisor.
Assist with end-of-season registration and permit sticker wrap-up.
Monitor and maintain fleet vehicles, schedule regular services, and
ensure they are fueled and available for staff use.
Compile maintenance and expense reports for region vehicles.
Work with the supervisor, region manager, park staff, and department
staff to schedule, coordinate, and assist with arrangements for
meetings,
workshops, receptions, and other events held in the region.
Offer support to ensure successful event execution.
Assist in monitoring park websites and social media for necessary
updates and events.
Assist parks in promoting events.
MINIMUM QUALIFICATIONS
Good knowledge of office support functions including word processing,
spreadsheet software, and other Microsoft Applications,
filing, composing a variety of business documents, and
reception.Typically gained by at least two years of experience
performing
administrative tasks in a professional setting; or a combination of
skills acquired through work experience, completion of relevant
coursework, or
structured on-the-job training.
Good knowledge of gathering and compiling data. Typically gained by at
least two years of experience collecting, organizing, and analyzing
information; or a combination of skills acquired through work
experience, completion of relevant coursework, or structured on-the-job
training.
&
