GENERAL DESCRIPTION:
Under the supervision of the Administrative Supervisor in the Administration Division, the Administrative Clerk provides general office
support with a variety of clerical activities, reception duties, and related tasks; attends to visitors and handles inquiries on the phone and in
person. Responsible for providing information regarding the organization to the general public, clients and customers.
SPECIFIC RESPONSIBILITIES:
Handles and manages a high volume of incoming calls in a positive, helpful manner.
Greets and assists visitors (walk-ins) in a positive, helpful manner; always presenting oneself to the public in a professional
manner, helping them find solutions to their problems.
Perform Fingerprinting duties as scheduled.
Creates and files various correspondences, forms, labels, cards, reports, and other related items.
Will have personal contact with the public and employees in and outside of the Sheriffs Office; to include officials in other
local law enforcement agencies, state and federal agencies, news media, and public action groups.
Occasionally picks up and receives inter-office documents/correspondence from other county offices and local
vendors.
May assist Administrative Assistants in other divisions, and anybody else as determined by the Administrative Supervisor,
Chief Deputy, or Sheriff.
Performs related clerical duties such as photocopying, faxing, filing and collating.
Performs related work as required. (Position may not include all the duties listed, nor do the examples cover all the duties, which may be
performed or supervised.)
Must be familiar and able to utilize a multi-line phone system and have basic computer skills to navigate word, excel, and other basic
computer documents.
WORK EXPERIENCE REQUIREMENTS:
Must have excellent general office skills and communication skills. Able to adjust to major fluctuating situations. Able to work well
under pressure. Must be friendly, congenial, outgoing, and able to engage a multitude of persons in conversation, directing them to the
appropriate office or person in a polite, friendly manner. Knowledge of computers and relevant software application. Knowledge of
customer service principles and practices. Bilingual in English and Spanish is preferred.
