The administrative assistant position performs a variety of administrative/ data entry functions. The position primarily assists the finance department to ensure orders are processed and shipped accurately.
Duties and Responsibilities:
Essential Function
Greet and welcome guests and notifies company personnel of visitor arrival
Route customers calls to appropriate salesman/sales assistant/sales support
Responsible for receiving, entering, and confirming customer orders
Re-enters/audits orders once they have been processed through the sales department
Print daily shipment packings for orders about to ship
Pull shipment packings for orders being shipped and correct
Maintain BOL Scan Report
Process and send invoices to customers
Blue books (item inventory sheets) weekly for sales collects and distribute
Act as an assistant to the Finance, Human Resources and Sales Department regarding miscellaneous tasks assigned
Receive, sort, and distribute daily mail/deliveries
Maintain supply orders and storage
Perform other clerical receptionist duties such as filing, scanning, and faxing
Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)
Qualification Requirements:
Education and Work Experience
High school diploma required and 2+ years administrative experience preferred
Proven work experience as a Receptionist, Front Office Representative, and or Data Entry clerk
Knowledge and Skills
Proficiency in or knowledge of using a variety of computer software applications, especially Excel and Word
High level of interpersonal skills
Ability to operate most standard office equipment
Attention to detail in composing, typing and proofing materials
Excellent spelling, grammar, and written communication skills
Excellent telephone and oral communication skills
Ability to rely on experience, judgement, and independent thinking skills to plan, prioritize and accomplish goals
Punctuality and reliable attendance during regularly scheduled office hours (8am-5pm)
Proficient in 10-Key
Ability to multi-task various assignments given
Ability to work in team environment
Physical Requirements
Prolonged periods of sitting at a desk and working on a computer. Must be able to remain in a stationary position up to 80% of the time
Constantly operates a computer and other office productivity machinery, such as a calculator, fax machine, copy machine, and computer printer
Must be able to observe and perceive information on a computer and documents
Pay Details: $16.00 to $17.00 per hour
