Position Summary:The Administrative Assistant 1 provides critical support to the Associate Vice President for Institutional Advancement, Development teams and Foundation Board. Experience Cortland dives deep into the region's offeringsMajor Responsibilities:Clerical Support for Associate Vice President for Institutional Advancement (VPIA)/Development Team Members/ Annual Giving Help schedule meetings for AVPIA, Director of Annual Giving, and the Director of Development and Gift Planning. Assist with travel paperwork and budget reconciliation (including state credit cards). Produce expense reimbursements for personal, state and Foundation. Order supplies in conjunction with Office Assistant of Advancement Financial Services. Create hard copy files of endowment agreements to add to filing cabinet. Send copies to necessary campus offices and check off ASANA tasks when completed. Take minutes and draft minute notes for Cortland College Foundation Development Committee. Assist with Return of Address envelopes. Provide to gift officer if under management or call the constituent for an updated address. If successful, provide to Advancement Information Services. Assist with handling responses from the Stelter newsletter. Provide necessary copies to the Director of Development, Gift Planning and Advancement Information Services staff. Serve in a support capacity for Major Advancements events (Challenge Day, Reunion, etc.)Stewardship Mailing of Scholarship and Program Endowment Packets Work with Manager of Donor Relations to provide clerical support. Create hard folders for mailing to donors. Prepare financial mailing to be sent in November and to include: Endowment report from Director of Advancement Financial Services, college update from Director of Development and Gift Planning, and additional items determined by AVPIA or Director of Development and Gift Planning. Secure and print student thank you letters for separate mailing once Financial Aid confirms scholarship recipients. This involves extension email and telephone outreach to students and their families. Verify student information in Banner. Document any necessary tasks and completion of tasks in ASANA. Attend meetings to enhance the process of this project.Support for the Institutional Advancement Division Greet guests visiting development and Advancement Information Services. Print and email event invitations, when applicable. Create event name tags. Provide phone back-up. Serve as back-up to the Administrative Assistant 2 to Vice President for Institutional Advancement. Send and receive faxes for Institutional Advancement staff. Register AVPIA, Development Group, Annual Giving, Advancement Information Services, etc. for webinars and conferences using state procurement card.Seek professional development opportunities when needed, including training on Banner, Raiser's Edge, MS Teams.Appointment to this position could be a permanent competitive appointment or a permanent non-competitive a
