POSITION SUMMARY:
Under the direction of the Patrol Police Captain, this position performs routine clerical, technical, and administrative support duties for the department, specifically in support of the Patrol and Criminal Investigations (CID) divisions. Duties include, but are not limited to, record keeping; drafting correspondence; compiling data; coordinating meetings; and making travel arrangements. Performance of duties requires the ability to work with confidential information, exhibit initiative, and tact.
ESSENTIAL DUTIES and RESPONSIBILITIES:
Provide routine administrative support including managing calendars, scheduling meetings, coordinating travel arrangements, and managing correspondence.
Effectively manage and screen incoming calls, emails, and other forms of communication, prioritizing and responding on behalf of the Patrol and CID staff.
Create and maintain documents, records, emails, and other files with a high degree of accuracy and confidentiality. Draft correspondence using proper English grammar, punctuation, and spelling. Proofread, edit, and manage documents and presentations.
Schedule, organize, and coordinate meetings both internally and externally, including preparing agendas, coordinating logistics such as meeting space, room setup, audio-visual equipment, materials, and supplies, and taking minutes when required.
Review credit card statements and audit against receipts, and file payment records. Prepare and manage expense reports.
Assist the CID and Patrol divisions with payroll and timekeeping activities, ensuring the timely and accurate input of time worked.
Assist division Police Captain with annual budget entry.
