Description We are offering a short term contract employment opportunity for a Front Desk Coordinator in the non-profit sector, located in Anderson, Indiana. The individual will play a crucial role in ensuring smooth operations within our organization by handling a variety of administrative and customer service tasks.
Responsibilities:
Oversee the efficient processing and routing of all mail and deliveries from UPS, FedEx, DHL, and USPS.
Manage incoming calls, ensuring they are forwarded to the appropriate personnel.
Greet and direct on-site visitors according to their business needs while monitoring their access within the premises.
Maintain an updated telephone directory for front desk reference.
Accurately record and distribute minutes of meetings and keep track of member rosters with their respective term end dates.
Coordinate logistics for meetings, including communications and reimbursements.
Manage the preparations for the General Assembly meeting, including reports, ballots, voting procedures, and verification of member eligibility.
Retrieve voicemail messages and forward them to the relevant personnel.
Provide callers with required information about the organization upon request.
Execute other assigned duties as required. Requirements - Proven experience in Administrative Assistance, handling various tasks related to organization and communication.
Proficiency in managing a Multi-Line Phone System, ensuring efficient and courteous handling of phone calls.
Experience in delivering Concierge Services, providing high-quality assistance to visitors and staff.
Strong background in Customer Service, demonstrating ability to resolve queries and issues effectively.
Skilled in Data Entry, maintaining accuracy and speed to ensure smooth operations.
Excellent Interpersonal Skills, enabling effective communication and fostering positive relationships.
Proficiency in Microsoft Office Suite, including Excel, Outlook, and Word, to handle various administrative tasks.
Proven ability to Organize Files, ensuring an efficient and easily accessible filing system.
Experience in performing Receptionist Duties, acting as the first point of contact for visitors and managing office logistics. TalentMatch®
