Job Summary The Administrative Assistant provides support to theDirector of Ambulatory Services. The Administrative Assistant assists theDirector with data management and reporting through the Hospital's Time and Attendance System, authorizes time off requests, and schedules inpatient personnel in accordance with FTE budgets, collective bargainingagreements and staffing guidelines, in coordination with the Director. Is proficient in secretarial skills and performs associated administrative tasks. Key areas of responsibility: Provides administrative services toDirector of Ambulatory Services, such as scheduling meetings, recording minutes, report generation and editing, opening and distributing mail, general typing and other administrative support duties as assigned. Generates statistical reports and presentations, records processes to collect data to account for utilization of staff time. Provides administrative support for department events and/or projects as assigned by theDirector of Ambulatory Services. Participates in performance improvement initiatives. Assists with approval of requests for time off from staff and obtains coverage. Ensures compliance with all collective bargaining agreements related to staffing and scheduling. Ensures accurate timekeeping using an automated system; entering schedules, exception reports and verifying time. Education: High School Diploma required Experience: Three years secretarial/administrative support experience required. Familiarity with time and attendance systems, staffing coordination. Experience in a healthcare setting preferred. Knowledge, Skills and Ability Requirements: Must have strong data management, customer service, and organizational skills, as well as ability to multitask and set priorities; work well with both internal and external customers. Proficient in Microsoft Office suite. Must have excellent verbal and written communication skills. Understanding of collective bargaining agreements and vendor contracts preferred.
