Executive Assistant Details
Essential Job Duties but not limited to:
Works with the Administrator to understand and anticipate objectives and deadlines
Prepares information for distribution which may include confidential correspondence, memos, contracts, or other materials on a personal computer.
Works with an Administrator to fully understand his/her objectives and deadlines.
Demonstrates knowledge of hospital policies and procedures .
Assists Assistant Administrator with various functions in the absence of the Executive Secretary, Nursing.
Handles Foundation correspondence, i.e., mail contribution campaigns, thank-you letters to contributors .
Respects at all times the confidentiality of employee, patients, and any sensitive information while performing the duties of Executive Secretary.
Achieves maximum productivity, meets deadlines, adjusts schedule as needed in view of fluctuations in departmental activity, and demonstrates ability to prioritize own work. Needs little or no supervision.
Greets employees and visitors in a courteous manner and responds to patients with empathy and positive interpersonal skills.
Works well with those in a supervisor capacity, and other staff members. Demonstrates ability to tactfully handle difficult situations.
Education & Experience:
Effective communication skills.
Able to meet and deal effectively with a wide variety of people.
Strong self-initiative, time management and organization skills, enabling the individual to manage multiple priorities.
Excellent computer skills, utilizing various software packages.
Must be accomplished in written and verbal business communication.
Ability to work a flexible schedule and adjust to responsibilities to meet demands.
Typing skills (at least 70 wpm) necessary, with machine transcription experience preferred.
High school graduates required.
Graduate of Business school preferred.
Secretarial experience preferred.
Two years' office experience, preferably in a health care setting.
