Description We are offering a long-term contract employment opportunity for an Administrative Assistant in the Real Estate Property/Facilities Management industry. This role is based in Naples, Florida, and will involve working closely with the onsite manager and maintenance manager.
Responsibilities:
Engage in customer service by answering inbound calls, assisting with inquiries, and providing information on association written policies
Take responsibility for data entry tasks, including updating customer details in the CINC Association Management software
Schedule, monitor, and document repair and maintenance work orders, coordinating with the maintenance manager as necessary
Handle the process of sales and leases, including obtaining background checks
Distribute new owner and lessee packets, ensuring all necessary information is provided
Create and distribute event flyers, and update the TV channel with current notices and activities
Manage the purchase of routine office and maintenance supplies
Maintain the gate access system, issuing barcodes and access cards as needed
Forward vendor invoices and owner payments to the appropriate office for approval and crediting. Requirements - Proficiency in answering inbound calls with a customer-centric approach.
Exceptional customer service skills, with a proven track record of handling customer queries and complaints.
Ability to efficiently perform data entry tasks with high accuracy.
Excellent written communication skills for effective email correspondence.
Experience in managing both inbound and outbound calls.
Proficiency in Microsoft Excel for managing and analyzing data.
Familiarity with Microsoft Outlook for scheduling, sending emails and managing calendar events.
Knowledge of Microsoft PowerPoint to create effective presentations.
Strong skills in Microsoft Word for drafting, editing, and formatting documents.
