About Us:
A boutique real estate law firm in New York City, with a substantial portion of its practice concentrated on co-op/condo law, (bylaws, residential tenant and commercial leases, deeds, house rules, contracts, annual meetings and elections), litigation including state and federal court proceedings, administrative proceedings, landlord-tenant issues, appeals, disputes, real estate transactions, and co-op/condo board advisory services is seeking a highly skilled and detail-oriented Bookkeeper to manage our financial operations and contribute to the success of our team.
Position Overview:
The Bookkeeper will handle the firm’s financial processes, including accounts payable, accounts receivable, and general ledger maintenance. The ideal candidate will bring at least 3 to 5 years of bookkeeping experience, preferably in a legal or professional services setting. This role demands a proactive, self-motivated individual who thrives in a fast-paced environment and can manage competing priorities with precision and professionalism.

Primary Responsibilities:
The following represent key duties but are not exhaustive:
Financial Operations:
- Maintain and manage the general ledger, ensuring all financial transactions are recorded accurately and timely.
- Oversee accounts payable, including processing invoices, verifying accuracy, and ensuring timely vendor payments.
- Manage accounts receivable, including preparing client invoices, monitoring payments, and following up on outstanding balances.
- Monitor and manage the firm’s cash flow, providing regular updates and reports to firm leadership.
Reporting and Compliance:
- Prepare monthly, quarterly, and annual financial reports, including profit and loss statements, balance sheets, and cash flow analyses.
- Ensure compliance with trust accounting requirements, including managing and reconciling IOLA and escrow accounts.
- Assist with preparation for audits and ensure proper documentation for external accountants and regulatory reviews.
- Support the firm’s tax preparation by providing accurate records and collaborating with tax advisors.
Budgeting and Strategic Support:
- Contribute to the development and management of the firm’s annual budget.
- Provide insights and recommendations for cost management and operational efficiency.

Ad Hoc Responsibilities:
- Assist attorneys and firm leadership with financial insights and special projects as needed.
- Participate in the implementation or improvement of billing systems, accounting software, or other financial tools.
- Collaborate with team members to streamline financial processes and identify areas for improvement.
- Take on additional duties as requested to support the firm’s dynamic needs.

Required Qualifications:
- Education: Associate degree in Accounting, Finance, or related field required; Bachelor’s degree strongly preferred.
- Experience: A minimum of 3- 5 years of bookkeeping experience, ideally within a legal or professional services environment.
•_ _Technical Skills:
o Advanced proficiency in accounting software (e.g., PC Law, QuickBooks, Tabs3, or similar legal billing systems).
o Strong command of Microsoft Office Suite, particularly Excel.
o Familiarity with trust account regulations, including IOLA accounts.
Proven ability to work independently, prioritize tasks effectively, and meet deadlines. Preference for individuals with exceptional organizational skills, keen attention to detail, and a proactive approach to problem-solving.
Strong analytical abilities, excellent communication skills, and the capacity to maintain strict confidentiality.
