Overview
We are looking to hire a full-time Accounts Assistant in our New York office. This position is for an individual who enjoys communicating with clients and is diligent and detail orientated and wants to foster relationships with the clients and other departments. This role involves working as a team member helping the office with administrative tasks as well as being responsible for invoicing, creating book purchase orders, and tracking client payments working alongside the global finance, production, marketing, and acquisitions teams.

Responsibilities

Raise and reconcile invoices and identify discrepancies while sharing client correspondence in writing with other necessary departments and filing all relevant documents.
Direct calling to authors for invoice queries and outstanding updates and updating account-related matters and payments.
Effectively work with the UK office to create a dynamic workflow to reduce accounts in all areas.
Process all book orders on the website and coordinate fulfilment and shipping costs with the UK office.
Handle all incoming and outgoing mail, deliveries and postage.
Depositing checks on a weekly-basis.
Perform clerical duties including but not limited to tracking and directing incoming mail, answering phone calls, responding to emails, and filing correspondence.
Maintain contact lists for office operations.
Provide general support to visitors when needed.
Supporting other departments in any tasks or events when necessary.
Help with general office and administrative tasks when necessary

Experience

The ideal incumbent:

Has work experience as an Accounting Assistant or Accounting Clerk.
Has knowledge of basic bookkeeping procedures.
Is familiar with finance regulations.
Has hands-on experience with MS Excel and other related software and platforms.
Has strong organisational skills
Can handle sensitive, confidential information
Can write clearly and help with word processing when necessary.
Has a warm personality with strong communication skills.
Ability to work well under limited supervision is required.
Great communication skills are required.

Pay: $42,500.00 - $43,500.00 per year
